The Executive Assistant (EA) / Personal Assistant (PA) provides high-level administrative support to the CEO, ensuring the efficient and smooth operation of the executive office. This role requires a proactive, organized, and detail-oriented professional who can anticipate the needs of the CEO and manage a diverse range of responsibilities with discretion and confidentiality.
Key Responsibilities:
Calendar and Schedule Management:
- Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
Correspondence and Communication:
- Assist the CEO in emails and correspondence.
- Handle confidential information with the utmost discretion.
Meeting and Event Preparation:
- Prepare for meetings by compiling and distributing necessary documents, reports, and presentations.
- Take meeting minutes and follow up on action items.
- Coordinate and organize executive-level events and off-site meetings.
Physical Office Management:
- Oversee the general maintenance and logistics of the physical office environment.
- Handle logistics for visitors, including greeting and escorting them as needed.
Administrative and Ad-Hoc Tasks:
- Manage expense reports and coordinate with the finance department.
- Handle personal errands and tasks for the CEO as required.
- Undertake special projects and assignments as directed.
Required Qualifications:
- Bachelor’s Degree or equivalent.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Professional demeanor and a positive, “can-do” attitude.
